Australia's privacy regulator, the OAIC, says public-facing AI tools should be clearly identified. Nell says so at the start of every conversation, on every channel, and anyone can ask for a person.
Intake is where people share the most personal parts of their lives with someone they've never met. We treat that as a privilege, and we built Kinfold around it.
- Step 1
A referral arrives.
By call, email, form or text. Nell says she's an AI assistant and gives your collection notice.
- Step 2
Nell reads it.
The details become a structured record, processed in Australia.
- Step 3
Your team makes the calls that matter.
High-risk referrals, declines and anything sensitive go to a person.
- Step 4
Written back, then yours to delete.
Once it's in your care system, you choose how long Kinfold keeps it.
Calls are announced.
Every call says it's recorded. You choose how long recordings are kept.
Encrypted everywhere.
In transit and at rest, with backups in Australia.
You delete it, we erase it.
From live systems straight away, and from backups within our backup cycle.
Kinfold was started by a support worker turned provider owner who ran intake every day. We know what arrives in a referral: diagnoses, family situations, court orders, risk assessments. We know who's on the other end of the phone. Every decision in Kinfold starts from there.
Kinfold is its own company. No provider can ever see another provider's referrals, clients or numbers, including any provider our founder is involved with. Our team can't either, unless you invite us in for support, and every access is logged and visible to you. We put that in writing in every customer agreement.
Kinfold is designed around the Australian Privacy Principles: collect only what intake needs, tell people why, keep it secure, and let people see and correct what's held about them.
Kinfold never uses your data to train AI models, ours or anyone else's.
Same protection, every plan.
Free or paid, your data is handled the same way.
So how does Nell sound like us?
From your templates, your rules and the drafts your team approves, kept inside your account. Nothing from your account is ever used for another provider.
Nell can book an intake call, but she can't turn someone away. Declining a referral always needs someone from your team, and so do waitlist and capacity messages. If someone says they're at risk, a fixed safety script directs them to 000 and alerts your on-call staff. And Nell doesn't give clinical advice, diagnose or triage.
From 10 December 2026, the Privacy Act requires privacy policies to explain certain decisions made using automated decision-making. Kinfold gives you template wording to adapt with your lawyer.
- Consent wording on every form.
- STOP on every text.
- One opt-out stops every channel.
- Calls only within permitted hours and in line with the Do Not Call Register.
Tell people how you use Kinfold.
Use our collection notice and privacy wording, and let people know an AI assistant helps your intake team.
Check before autopilot.
Approve Nell's drafts until you trust each channel, then switch it on.
Give everyone their own login.
No shared accounts. Two-factor sign-in is required for every staff member.
